Executive Assistant (m/f/d)

YOUR MISSION

Our friendly and energetic team in Dubai is growing and we are seeking an Executive Assistant to complement the team and elevate the daily operations of our Executive Management.  If you excel in providing unparalleled C-Suite support and you embrace the opportunity to coordinate and organize in a fast-paced environment, then we want to hear from you!
 
Your responsibilities would include, but are not limited to: 
 

  • Acting as the point of contact between Managing Director/s, and internal and/or external stakeholders.  
  • Proactive calendar management which includes organising meetings, booking meeting rooms, arranging adequate work time and any other relevant tasks.               
  • Discretionary handling of correspondence directed to relevant managers and/or internal and external stakeholders.               
  • Making travel arrangements and detailed travel itineraries for the Managing Director/s.    
  • Preparing and distributing agendas prior to meetings coordinated by Executive Management and taking comprehensive Minutes of Meeting, ensuring timely distribution and follow-ups. 
  • Coordinate all internal and external team meetings initiated by Managing Director/s and assist with team meetings and events as needed.               
  • Serve as the gatekeeper and utilize your judgement to filter the highest priority requests through to Executive Management, while proactively taking care of requests within your capacity.  
  • Preparing reports, correspondence, and presentations as required.  
  • Take an active role in understanding the wider business operations and where you can support and contribute. 



YOUR PROFILE

The ideal candidate will be proactive and energetic, with a talent for delivering tasks on time and in full. You should be comfortable working on your own initiative, anticipating the needs of both the Executive Management and the business operations, and be comfortable to make adjustments to the schedule based on priorities and adhoc requests. You will have excellent interpersonal skills and be a friendly and polite point of contact for our Business Units and team members.  

You will also possess:  

  • Minimum of two (2) years experience supporting C-Suite and Executive Management. 
  • Previous Middle East work experience, preferably within a similar industry. 
  • Strong ability to multitask and prioritize requests. 
  • Excellent time management skills. 
  • Proficient computer skills (MS Office Suite) 
  • Attention to detail. 
  • Excellent verbal and written communication skills. 
  • Demonstrate a high level of professional discretion.  
  • Proficiency in English and German would be an advantage.  
  • Willingness to travel. 
  • Bachelor’s degree in Business Administration or a similar field.
