Project Coordinator (m/f/d)

YOUR MISSION

Our friendly and energetic Project Management team in Berlin is growing and we are seeking a Project Coordinator to complement the team and act as a critical player in planning and delivering our projects, from the initial tender stage through to installation and successful handover.  If you’re ready for a challenge and the opportunity to demonstrate your unwavering ability to coordinate and monitor several exciting and international projects in a fast-paced environment, then we want to hear from you!

 

As a project coordinator within the Project Coordination unit, you are largely responsible for ensuring that the projects run smoothly. This includes both internal organization and the management of external parties. You support the project management in organizational matters and are responsible for the efficient coordination of various tasks and resources.

 

This includes, but is not limited to the following tasks and responsibilities:

  • Independent processing of pre-qualifications and ensuring compliance with requirements.
  • Creation and management of projects in EasyJob and MS Teams.
  • Invitation and coordination of those involved in the project.
  • Organization of meetings and documentation of the meeting results (minutes).
  • Preparation, layout design and dispatch of project documents.
  • Document management within the project.
  • Maintaining and regularly updating the project database and monitoring the project status.
  • Crew management, including managing accommodations and accreditations.
  • Management of external project participants such as subcontractors and suppliers.
  • Project planning and support, from specifications to milestones to final acceptance.
  • Adherence to project timelines and objectives.
  • Communication with all internal and external project stakeholders.
  • Moderation and mediation in case of disagreements and conflicts.
  • Maintaining customer relationships.
  • Work preparation and resource planning.
  • Risk management, project controlling and quality control.
  • Compliance with quality and occupational safety standards.
  • Cooperation with monitoring and regulatory authorities.
  • Support in change order management.
  • Project documentation.
  • Crew booking: Includes booking and deployment planning of external personnel as well as responsibility for maintaining our external personnel database.
  • Process design within crew management.



YOUR PROFILE

The ideal candidate will have extensive experience as a Project Coordinator / Manager in construction projects, preferably in the cultural sector (museums, exhibitions, EXPOs, etc.) You will be a team player and have the ability to work closely, confidently, and cooperatively in an intercultural team - with strong assertiveness and commitment.

You will also possess:

  • Excellent German and English language skills.
  • Technical understanding and business knowledge through education or studies.
  • Good understanding of technical, business, and contractual contexts.
  • Experience in planning techniques and project control methods.
  • Good knowledge of the necessary IT tools (MS Office 365, SharePoint, Aconex, etc.)
  • Experience with EasyJob tool is preferable.
  • Experience in crew management is preferable.
  • You are motivated, proactive, and capable of working independently.
  • You thrive in a fast-paced environment and pride yourself on delivering the best possible results.
  • Excellent organizational and analytical skills.
  • Willingness to travel internationally when required.
